1. Who we are

Coach Map ("we", "us") operates the Coach Map directory at coachmap.au from Queensland, Australia. We are the data controller for personal data collected through the Service.

2. Personal data we collect

• Account data: name, email address, password hash, login timestamps.
• Listing data: coach/club name, contact details, location, sports, photos and other content you publish.
• Support and communications: messages you send us and our replies.
• Usage data: pages visited, search queries, device type, browser, approximate location and IP address, collected via cookies and server logs.
• Payment data: handled directly by our payment processor, Stripe (see Section 4). We do not store card details.
• Billing data: we receive and store limited transaction metadata from Stripe (e.g. customer ID, subscription ID, last 4 digits of card, card brand, billing country, invoice amount and status) for accounting, tax, fraud prevention and customer support.

3. Purposes and legal bases

• Provide the Service (contract): create your account, publish your listing, deliver subscription features.
• Security and fraud prevention (legitimate interests / legal obligation): detect abuse, protect users, keep logs.
• Product improvement and analytics (legitimate interests): understand how the Service is used.
• Customer support (contract / legitimate interests): respond to your enquiries.
• Marketing (consent or legitimate interests, as applicable): send newsletters you have subscribed to. You can unsubscribe at any time.
• Legal compliance (legal obligation): meet tax, accounting and other legal requirements.

4. Sharing your data

We share personal data only with:

• Stripe Payments Australia Pty Ltd, our payment processor, who handles checkout, card processing, subscription billing and invoicing on our behalf. Coach Map is the merchant of record; Stripe acts as a processor under our instructions. See Stripe's privacy notice at stripe.com/au/privacy.
• Service providers we use to run the Service, including cloud hosting, database, email delivery and analytics providers, under appropriate contractual safeguards.
• Professional advisers (legal, accounting) where necessary.
• Authorities where required by law or to protect our rights.

We do not sell your personal data.

5. International transfers

Some of our providers (including Stripe, which operates infrastructure in the United States and other regions) may process data outside Australia. Where this happens, we rely on appropriate safeguards such as standard contractual clauses or equivalent mechanisms, consistent with the Australian Privacy Principles.

6. Data retention

We keep personal data only as long as needed for the purposes described above, to comply with legal obligations (e.g. Australian tax and accounting records, which we retain for at least 7 years), or to resolve disputes. When no longer needed, data is deleted or anonymised.

7. Your rights

Subject to applicable law, you may request access to, correction or deletion of your personal data, object to or restrict certain processing, and withdraw consent where processing is based on consent. Australian users may also complain to the Office of the Australian Information Commissioner (oaic.gov.au). To exercise any right, email privacy@coachmap.au.

8. Security

We use appropriate technical and organisational measures — including encryption in transit, access controls and audit logging — to protect personal data. No system is perfectly secure, so we cannot guarantee absolute security.

9. Cookies

We use essential cookies to operate the Service (e.g. authentication) and limited analytics cookies to understand usage. You can manage cookies in your browser settings.
